Terms of Service
By using this website, or in any other interaction with International Nature Volunteers (INV), you agree to the following Terms of Service:
1.1 Registration fees
Registration fees apply per placement. If a volunteer chooses to apply for, and is accepted into another INV volunteer program, a further registration fee will apply.
1.1.1 The registration fee was formally known on this website and in these Terms of Service as the enrolment fee. On 18 March 2016 this term was changed—on the website and in these Terms of Service—to the new term of registration fee. Only the terminology has changed, not the substantive nature of the fee. Therefore, for the purposes of these Terms of Service, the previous terms of enrolment fee, enrolment, and enrol can be considered the equivalent of registration fee, registration, and register (respectively).
1.2 Program fees
Program fees are due to be paid 1 month prior to the placement start date as shown in the letter of placement confirmation. This is to allow time to transfer the necessary funds to the project partner.
Registration fees and program fees are non-transferable.
1.4 Transaction fees
Applicants are required to cover the transaction fees when paying the registration and program fees (such as credit card or bank transfer fees).
2. Date changes
2.1 Change of start date
Applicants who have paid their registration fee and received a letter of placement confirmation, can request a change to their start date up to 1 week prior to their scheduled placement start date at no charge for the first two changes. Subsequent requests to change the start date will incur an administrative charge of US $25 per change (at the sole discretion of INV depending on extenuating circumstances).
2.2 Change of start date within 1 week of scheduled start date
Applicants who request a change in start date within 1 week of the scheduled start date will incur an administrative charge of US $50 (at the sole discretion of INV depending on extenuating circumstances received).
2.3 Change of start date after scheduled start date
Applicants who request a change in start date after the scheduled start date, may incur an administration charge of US $100 (at the sole discretion of INV depending on extenuating circumstances received). The volunteer will also forfeit the time on the program that they have missed (for example, if an applicant arrives 1 week after their start date then the scheduled end date of the placement will remain the same date and the volunteer will not be eligible for a refund of the missed 1 week placement).
2.4 Start date changes limit
The start date, if changed, must fall within 2 years of the original start date as stated in the first letter of placement confirmation issued to the volunteer after the registration fee is received.
3. Refund policy
3.1 Program fee refund request
If the program fees have been paid to and received by INV, and subsequently the applicant is unable or chooses not to attend the placement, an application can be made to INV for a refund of the program fees. The application must be made in writing by email stating the reason(s) for the refund request. The refund application must be received within 12 months of the start date as stated in the most recently issued letter of placement confirmation. Upon receiving the application, INV will email a receipt of the refund application to the applicant. If no such email is received by the applicant within 48 hours of sending their refund request, it should be assumed that INV has not received the refund request, and the applicant is advised to call INV immediately to confirm. INV will make a decision on the refund request within 30 days of sending the receipt of the refund application to the applicant.
3.2 Program fee refund – refund administration fee
Should the refund request be granted, a refund administration fee applies depending on the period of time between the refund request being received in writing, and the start date as stated in the most recently issued letter of placement confirmation. This period of time is referred to as the notice period. The notice period is calculated using the start date in the timezone of the location of the specific project. The refund administration fee will be deducted from any refund payable. The calculation of the total refund administration fee for the notice period is shown below:
A notice period of more than 90 days prior to the start date: US $50 + transaction fees + any loss to INV in the exchange rate conversion.
A notice period of 60 to 90 days prior to the start date: US $100 + transaction fees + any loss to INV in the exchange rate conversion.
A notice period of 30 to 59 days prior to the start date: US $125 + transaction fees + any loss to INV in the exchange rate conversion.
A notice period of 8 to 29 days prior to the start date: US $150 + transaction fees + any loss to INV in the exchange rate conversion.
A notice period of 0 to 7 days prior to the start date: US $175 + 25% of the program fee paid + transaction fees + any loss to INV in the exchange rate conversion.
Refund requests received after the start date (a notice period of a negative number of days): US $200 + 50% of the program fee paid + transaction fees + the portion of time that was missed or attended on the program before INV received the refund request + any loss to INV in the exchange rate conversion.
3.3 Program fee refund processed only when funds have cleared
Refund transactions will only be processed when the funds received by INV have fully cleared with the transaction facility (bank or credit card processor). INV reserves the right to withhold a refund for an indefinite period if it deems there be any risk of fraudulent activity or fraudulent transaction(s).
3.4 Program fee refund by Paypal
Any refunds will be disbursed solely through Paypal in US dollars, unless both parties agree otherwise. Persons eligible for a refund are responsible for providing INV with a Paypal account to receive their refund. INV is not liable for any costs incurred in the recipient opening or operating their Paypal account or transferring refunds from their Paypal account to their bank account.
3.5 Registration fee non-refundable
The registration fee is non-refundable, but placements can be rescheduled as per the conditions in section 2.
3.6 Late arrivals
Applicants who arrive late or after their scheduled placement start date are not eligible for a refund (or an extension of placement) for the placement period they have missed.
3.7 Disciplinary action
Volunteers who are expelled from the program due to disciplinary action (see section 5) are not eligible for any refund of any fees, or compensation for extra expenses incurred.
4. Accommodation and food
4.1 Volunteer participation
Programs which include accommodation and food may require volunteers to help with the cooking and cleaning up. In some circumstances the meals will be self-catered, where the volunteers will be required to make their own meals with the food supplied.
4.2 In projects where food for meals is provided, volunteers will be provided with the food and accommodation they are entitled to if they stay in the accommodation provided, but not in any other circumstances. For example, if the volunteer lives in alternative accommodation of their choosing, they will not be provided food or reimbursed or refunded those costs.
4.3 In projects where food for meals is provided, volunteers should be aware that personal snacks and treats are not included and should be obtained prior to arrival.
5. Rules and dispute resolution
Volunteers agree to follow the laws of the country in which they are volunteering, follow the rules set out by INV and the project partner, and behave in a manner that is reasonably expected not to cause offence or undue disturbance to other volunteers, project partners, or the local community. In cases where conflict or a disciplinary issue arises, INV will work with both the volunteer and project partner to come to a successful resolution, and make every effort to resolve the situation. If the matter continues, in some circumstances that may involve the termination of the volunteer program for the volunteer. Written notice will be given to the volunteer stating that if the situation is not resolved within a reasonable period, then their placement will be terminated. If the issue persists, INV together with the project partner reserve the right in their sole discretion, to terminate the volunteer placement without compensation. The volunteer will then be required to cover the cost of repatriation to their home country or find and cover the cost of alternate accommodation and lodgings.
6. Risk and responsibility
Volunteers agree that they come on an INV program at their own risk. While we will take all reasonable efforts to ensure your safety, there is always a level of risk involved. Volunteers agree not to hold INV or its partner projects liable. It is a mandatory requirement that all volunteers take out comprehensive travel insurance (including medical, travel, and liability cover) for the duration of their placement.
7. INV Grant Fund
The INV Grant Fund collects contributions for disbursement to projects. These are initiated by volunteers on their volunteer placement, or project partners. Applications are made to INV for disbursement of funds, and INV makes a decision based on the information supplied. INV would like to assist projects wherever possible, but INV reserves the right to decide on applications in its sole discretion based on where and what initiatives will be most effective for the aims of the project.
For the security of grant applicants and projects, contributors to the fund (including volunteers, one-off donations, and INV Nature Supporters) agree that contributions are non-refundable.
INV guarantees that 90% of the net funds (after transaction fees) in the INV Grant Fund will be disbursed to volunteer and/or project initiatives, equipment, or operating costs. 10% of the net funds (after transaction fees) will be used by INV in the administration of the fund, applications to the fund, collection and disbursement of funds, and reporting.
8. INV Sponsor a Tree
The INV Sponsor a Tree program collects contributions from sponsors to support revegetation projects.
Contributors agree that contributions to the program are non-refundable. If a tree that is sponsored fails to thrive for whatever reason, the sponsor will be allocated another tree.
INV guarantees that 90% of the net funds (after transaction fees) in the INV Sponsor a Tree program will be disbursed to revegetation project initiatives. 10% of the net funds (after transaction fees) will be used by INV in the administration of the program, collection and provision of information to sponsors, and collection and disbursement of funds.
9. INV Photo Competition
The INV Photo Competition collects entries of photographs for entry into a monthly prize competition.
9.1 Eligible participants
Current INV volunteers or INV Volunteer Alumni are eligible to enter one or more photos into the competition. An eligible entrant can enter up to 5 photos per calendar month.
9.2 Eligible entries
Entrants who submit a photo to the competition are confirming that the photo is their original work only, and not copied work. Only entries submitted via the INV Volunteer Portal page for the INV Photo Competition will be eligible for acceptance into the competition. Entries are eligible for only one competition round (For example, if a photo is submitted, it cannot be re-submitted in subsequent competition rounds).
9.3 Right to disqualification
INV reserves the right to disqualify entrants and/or entries for whatever reason.
9.4 Right to reproduce and display entries on public website and social media pages
By submitting an entry to the competition, entrants agree to granting INV full rights without royalty to publish their entry on the INV website, in promotional material, and on social media pages, for an unlimited time (including after the competition ends).
9.5 Selection of winners
The selection of winning entries will be at the sole discretion of INV. Entries may be awarded a 1st, 2nd, or 3rd place, but if INV determines that no entries are of sufficient merit to be awarded a prize then none or some of the placement positions will be awarded.
9.6 Competition round period
Each competition round period operates on a monthly basis and will run from the 1st to the last day of each calendar month. All entries will only be entered into the monthly draw for the calendar month that the photo was submitted.
9.7 Minimum number of entries required
If during a particular competition round period, less than 20 entries are received, then the monthly draw will be cancelled and void for that competition round period. The entries submitted for the month will be automatically entered into the next competition round period draw. The prize pool for the cancelled draw will be void and not transferred over to the next competition round period.
The prize winners will receive a voucher which can be used once by themselves, or someone they know, to receive a discount on the program fee on a future INV volunteer placement. The vouchers are valid for 2 years from the date of issue. Prizes will be awarded to winning entrants based on the award of the received entry:
1st prize: US $60 discount voucher
2nd prize: US $40 discount voucher
3rd prize: US $20 discount voucher
The discount vouchers are not redeemable for cash.
10. INV Video Competition
The same terms as for the INV Photo Competition (Section 9 above) apply to the INV Video Competition.
11. Disputes, Governing Law, and Jurisdiction
Any disputes will be governed and enforced by the sole jurisdiction of New Zealand law and courts. All parties agree not to undertake any dispute resolution or legal proceedings in any other country other than New Zealand.
13. Changes to these Terms of Service
These Terms of Service may be updated from time to time without notice.
